How to Submit a Bid Sheet

You can either submit your bids directly online or by filling out and uploading the Excel Bid Sheet template.

📍Go to bid sheet in the Tasks list

From the Project Overview, click the “Go to Bid Sheet” button located below the Tasks list on the right-hand side to open the bid submission page.

💻 Option 1: Submit Bids Online

  1. Make sure to read the instructions.

  2. Fill in the designated fields as shown below.

    ❗Be sure to fill in the fields marked with a red asterisk, as they are mandatory.

  3. Click "Save". If there are no errors, you will see green checkmarks in the status column.

  4. Click "Submit Bid Sheet" to finalize your submission.

📄 Option 2: Work Offline with Excel

If you prefer working offline, you can download and re-upload your bids using an Excel file.

  1. Make sure to read the instructions.

  2. Click "Get Excel template and upload bids"

3. In the pop up window, click "Download template" below Step 1.

An Excel file will be downloaded and contains the bid sheet of the sourcing organization.

⚠️ Make sure downloads are enabled in your browser. If the file doesn't appear, check your browser settings or contact your internal IT administrator

4. In the Excel file, fill in your quotes in the columns that are color-coded as supplier input. Review the table structure and any separate worksheet or legend.

5. Save your completed file locally before uploading.

Upload your bids

6. Return to the Bid Sheet window and open the pop up again by clicking "Get Excel template and upload bids".

7. Below Step 2, drag and drop your completed Excel bid sheet file into the blue area.

8. Check the box, acknowledging that all previous bids will be overwritten.

9. Click "Save"

10. The online bid sheet will be automatically filled out and checked for errors.

🔄 Need to Update Your Submission?

If you’d like to make changes to your bids or questionnaire responses, you can withdraw and resubmit:

  • Click "Withdraw proposal to resubmit" in the Bid Sheet

  • Click "Withdraw answers" in the Questionnaire

You can make updates and resubmit anytime before the round closes.

🔍 Check Which Fields Are Causing Errors

Click the blue “Review bids” link next to the Errors icon. It shows only the rows with issues and highlights the fields with errors in red.


Common Errors & How to Fix Them

Missing Information in Required Columns

All fields marked with an asterisk (*) are mandatory. If any mandatory column is left empty, an error message will appear.

  • Make sure to complete all asterisk-marked columns for the items you want to bid on.

  • Note: If you leave the price or cost blank for an item, the system treats it as “No bid” and will automatically delete other information provided for that item.


Text entered where numbers are required

Certain fields—especially those labeled "Price" or "Cost"—accept only numeric input. Entering text, symbols, or comments in these fields is not possible.

  • Enter only numbers (e.g., 12.50 or 0) or leave the cell blank if not bidding.

  • Use the “Comments” column for additional details or share comments via chat with the sourcing manager.


Excel Upload Option – Possible Errors

Additionally, if you are using the Excel upload option, errors may occur due to the following reasons:

Bid sheet structure was modified (added or deleted rows, columns, or other content)

Any structural changes, such as adding or deleting rows or columns, or inserting content below the bid table, will cause errors or missing data.

  • Use the provided bid sheet structure without modifications.

  • Leave unused rows or columns empty or enter 0.

  • Do not change the original worksheet names.

  • Do not add images or comments below the bid table.

Item IDs Were Changed

Archlet uses item IDs to match your bids. If you edit or replace them, your bids for those items will be ignored.

  • Use the original item IDs exactly as provided.

  • Download a fresh template if needed and copy your bids without altering the structure.

Copied or recreated bid sheets were used

Copying the bid sheet into a new Excel file can remove necessary formatting and metadata, causing submission problems.

  • Work only with the original file downloaded from the platform.

  • Avoid pasting into new workbooks.

  • Enter bids directly into the official template.


❓Frequently Asked Questions

"An unexpected error occurred" page appears. What should I do?

Check your internet connection and make sure the upload didn’t time out. If the issue continues, try using a different browser. For further help, contact our Archlet Support team by clicking the chat bubble in the lower-right corner of your screen.

Can I use my own bid sheet?

No. You must use the bid sheet template provided by the sourcing organization to ensure consistency and proper data processing.

Why do some bids not appear even though I entered information?

If you didn’t enter a price or cost for an item, the system treats it as "No bid" and automatically deletes any other information you entered in that row. To ensure your bids are recognized, make sure to fill in the price or cost fields for each item you want to bid on.

Feedback was sent by Sourcing Organization. Where can I find it?

✅ Option 1: Use the Email link:

When feedback is available, you’ll receive an email notification.
Just click the link in the email, and it will take you directly to the relevant round and feedback in the app:

✅ Option 2: View Feedback In-App

You can also access the feedback within Archlet:

  1. In the Project Overview, on the right side below Tasks, click "Go to Bid Sheet".

  2. At the top right corner, use the round selector dropdown to switch to the Round where feedback was provided.

  3. Click "Show Feedback" above the bid sheet on the left to display the feedback column.

⚠️ By default, the platform shows the latest round. If the feedback was from Round 1, you must switch to that round to view it.

How to Review Flagged Items

To focus on items marked for your attention:

  • Use the “Marked for review” column inside the Bid Sheet.

  • Apply a filter to see only the items that require your review or were flagged by the buyer.

Sourcing Organization updated the bid sheet. What do I need to do?

It may occur that the sourcing organization decides to adjust their bid sheet structure after they have published the event or even after you have filled in your first bids.

In that case, the best thing to do is to download the template again and fill in your bids.

How can I make changes to the bids that I have already submitted?

If you’d like to make changes to your bids, go to the you can withdraw and resubmit:

  1. In the Project Overview, on the right side below Tasks, click “Go to Bid Sheet”.

  2. At the top of the bid sheet page, click "Withdraw proposal to resubmit".

  3. Update your bids and resubmit anytime before the round closes.
