Use this article to give one, several, or all suppliers extra time to respond in an RFx project — without reopening the round for everyone, and with the option to notify affected suppliers by email. This applies to RFx projects only; see the limitations section below for auctions and Spot projects.
🧭 Who can extend a deadline?
Any buyer with edit access to the project can extend a deadline, either for all suppliers at once or for one or more individual suppliers, from the project's Round schedule or the project dashboard.
📅 Extend the deadline for all suppliers
Extending the deadline for all suppliers in a round moves the round's general deadline. Every supplier in that round is affected, and you can choose whether to notify them by email.
Open the project and click Edit round. For a full walkthrough of round editing, see How to edit a round in RFx projects.
Under Schedule your deadline, update the Deadline date and time, and the Timezone if needed.
Tick Notify suppliers with an announcement about this deadline change if you want every supplier in the round to receive an email about the new deadline. Leave it unchecked to change the deadline silently.
Click Save and Update Round button. The round deadline updates immediately, and suppliers see the new deadline the next time they open the project.
👤 Extend the deadline for one or more individual suppliers
Extending an individual supplier's deadline gives that supplier extra time while every other supplier keeps the round's original deadline. This is useful when only one or two suppliers need more time — for example, a late addition to the project or a supplier who's still gathering information.
Open the project dashboard for the round in question.
Hover over the Deadline column for the supplier you want to extend. A pencil icon appears — click it.
Alternatively, open the three dots (•••) actions menu at the end of the supplier's row and select Extend deadline — this menu also holds other row actions, such as filling in the questionnaire or resending the invitation.
3. In the Extend deadline dialog, choose a new date and time. You can use the quick-add buttons (+1 day, +3 days, +1 week, +2 weeks) or set a custom date and time directly.
4. Tick Notify supplier by email if you want this supplier to receive an email about their new deadline, or leave it unchecked to change it silently.
5. Click Save. The supplier's row in the dashboard shows the new deadline with an Extended label, and other suppliers' deadlines are unaffected.
Extending several suppliers at once
You can select multiple suppliers from the dashboard and extend their deadlines together in one action, rather than repeating the steps above one supplier at a time.
Undoing an individual extension
Open the same Extend deadline dialog for that supplier and click Reset to round deadline. The supplier's deadline reverts to the round's general deadline. If you set a supplier's individual deadline to the exact same value as the round deadline, Archlet treats this the same way as resetting it.
⚙️ What an individual deadline extension affects
This table shows what a supplier can and can't do, based on whether their individual deadline has passed. This applies whenever a supplier has an individual deadline set, whether the round overall is still open or already closed for other suppliers.

📌 Rules to know about deadline extensions
Extending a project's deadline follows a few specific rules, whether you're extending for all suppliers or for one individual supplier:
You can extend a supplier's individual deadline even after the round has already closed for that supplier or for others.
You cannot extend the deadline for a supplier who has been removed from the round.
If you move the round's general deadline to a date later than a supplier's individual override, that supplier's deadline updates to match the new round deadline.
If you move the round's general deadline to a date between two suppliers' individual overrides, Archlet shows a confirmation dialog: the supplier whose override is now earlier than the new round deadline is left unchanged, and the supplier whose override is still later keeps their extended deadline.
You cannot create a new round while a supplier still has an individual deadline extension in the future. Wait until every supplier's individual deadline has passed before creating the next round.
Archlet automatically sends a reminder email 72 hours before a supplier's effective deadline. If a supplier's deadline has already had its reminder sent and you then extend it by more than 72 hours, Archlet does not send a second reminder for that new deadline.
🚫 Where deadline extensions are not available
❗Auctions: You cannot manually extend a deadline for an auction. English reverse auctions instead use an automatic extension that is triggered by supplier bidding activity, not by the buyer, and works differently from the RFx deadline extension described in this article.
❗Spot projects: Individual supplier deadlines cannot be extended in Spot projects.
