Receive an invite email and log into Archlet

When a sourcing manager invites you to a new sourcing event, you will receive an email with a link to access the event. As a new user, you'll be first asked to set a password. As an existing user, you will need to enter your previously-set password to log into Archlet.

💡 Tip: Use a password manager to save your password. This can be one suggested by your company or one built into the browser you are using.

Access the bid sheet

You can access the Bidding Sheet section and download the Bid Sheet file the sourcing manager has provided:

Click on the black button (1) "Go to bid sheet" or the (2) icon in the sidebar to get access to the bid sheet template. The bid sheet template is an Excel file that the sourcing manager has uploaded for this sourcing event.

After you clicked on Start bidding (or the table icon in the vertical sidebar), you will access the Bidding sheet section.

Currently, there's no way to enter your bids directly into the table. You need to download the bid sheet as excel file and enter the bids into the file before uploading again (more below in Fill in the Bid sheet).

❗ Important: Downloading files from the internet has to be enabled in your browser. If no file downloads, - even after waiting several seconds - please check your browser settings, use a different browser, or reach out to your internal IT administrator.


Fill in the Bid sheet

To add your bids, you (1) first need to download the bid sheet by clicking on the Download bid sheet template button.

An Excel file will be downloaded and contains the bid sheet of the sourcing organization.

Open this Excel file and familiarize yourself with the structure. Typically, the sourcing manager will have color-coded the table, so you can find the cells and columns easily.

(1) Make sure to familiarize yourself with the structure of the table if there's a separate worksheet or a legend on top.

(2) Enter information that is only required as one value in the cells (usually above the table)

(3) Fill in your quotes in the columns that are color-coded as supplier input.

❗ Important: Don't forget to save the bids, so you have a local copy of your bids!


Upload your bids

In the bidding sheet section, click on Upload bid sheet and see the blue file upload field appear. Now, drag and drop your bid file from your local storage into the blue field. Make sure to confirm the changes.

After uploading your bids, you can check for errors in the Bid sheet overview and see how many of the requested items you can offer.

Handle bid sheet updates

Depending on where you are in the process, we recommend a different approach. Choose the scenario below that fits your situation best and follow the recommendations:

Scenario 1: You have already added your bids using the previous/old bid sheet

It's important that you always use the newest file, so make sure that you download the bid sheet again from the Bidding Sheet section.

Ideally, the sourcing manager has told you exactly what has changed so you know how to best copy-paste your existing bids into the new template. If the order of items has not changed or if only new items have been added at the bottom of the bid sheet table, you can copy your bids into the same columns.

Scenario 2: You have not yet added your bids

In this case, simply download the latest bid sheet template and add all your bids to this file, save the file locally, upload in the Bidding Sheet section and submit.

❗ Important: Don't forget to save the bids, so you have a local copy of your bids!


Submit your bids

Please note: If you are participating in an RFI, this step is typically not required.

So you have (1) downloaded the latest bid sheet file and added your bids. You saved the file locally, (2) uploaded it in the Bidding Sheet section and corrected any mistakes.

Now, it's time to submit your bids by clicking on the yellow Submit button.

Once you have uploaded and/or submitted the bids, you can also review your input in the bid sheet table below your Bid sheet overview.

Check what needs to be done

In the Tasks section, you'll find an overview of tasks that you need to finish for this sourcing event. As soon as all Tasks are marked with a green checkmark, you have fulfilled the minimum requirements of this sourcing event:


Check if your bids are submitted

As soon as you click on Submit, your bids are transmitted to the sourcing organization. You can see the exact date and time of your last submission in the Event Progress card. If the proposal has been submitted, a timestamp with a green checkmark shows the exact time your Proposal was submitted.

Additionally, the Submit button turns into an Edit proposal button.

The Supplier contact who clicked on Submit will receive an email confirmation with a confirmation of the time and date of the submission.


Edit your bids/proposal

You want to update your (submitted) proposal? No problem! If you haven't submitted your proposal yet, simply re-upload your bids again.

You'll get to the bidding sheet page by clicking on the table icon in the sidebar on the left:

If you have submitted your proposal already, you'll see the button "Withdraw proposal to resubmit". If you haben't submitted yet, you'll see the three buttons (1 Download bid sheet template, 2 Upload bid sheet, 3 Submit).

Click on Withdraw proposal to resubmit and confirm that you want to edit your proposal. Now the black Upload bid sheet button reappears and you can repeat the submission process by dragging your updated file into the blue upload field, checking for errors, and submitting again.

💡 If you upload a new file, Archlet shows you a list of all the items where changes where detected. Confirm the dialog and make sure to submit your proposal again.


Upload documents

Do you need to upload additional/supporting documents such as a supplier information sheet or certifications or product specifications? Or have you collected some questions and require answers from the sourcing organization? Scroll below the Event description to find the Documents section.

In Documents, you'll find (1) Documents uploaded by the sourcing organization that were made available for all invited suppliers and a section where you can (2) upload your own files to share with the sourcing manager.

Click on the white button "Upload documents" to open the blue upload field. You can now drag and drop your documents in here and they will appear listed below upon successful upload.

Your documents will be immediately available to download for the sourcing manager.


Change language

Would you rather use Archlet in German? Head over to the user settings and switch to "Deutsch" under languages. Click on Save and you can use Archlet in German.
