🚀 e-Sourcing Quickstart Guide

This step by step guide shows you how to participate in an RFx sourcing project in Archlet

Projects Dashboard

The first screen you’ll see after logging into Archlet is the Projects dashboard — simply select the relevant project card to get started.


Gating (Optional) - Accept the terms

To accept the gating step, download the preliminary documents, review them, and agree to the terms before gaining access to further project details.

After accepting the gating step, you will also find more supporting information and files on the Project Overview page.


📄 Submitting Your Bid Sheet: Online or via Excel

From the Project Overview, click the “Go to Bid Sheet” button located below the Tasks list on the right-hand side to open the bid submission page.

You can either submit your bids directly online or by filling out and uploading the Excel Bid Sheet template.

💻 Option 1: Submit Bids Online

  1. Make sure to read the instructions.

  2. Fill in the designated fields as shown below.

    ❗Be sure to fill in the fields marked with a red asterisk, as they are mandatory.

  3. Click "Save". If there are no errors, you will see green checkmarks in the status column.

  4. Click "Submit Bid Sheet" to finalize your submission.

📥 Option 2: Work Offline with Excel

If you prefer working offline, you can download and re-upload your bids using an Excel file.

  1. Make sure to read the instructions.

  2. Click "Get Excel template and upload bids"

3. In the pop up window, click "Download template" below Step 1.

An Excel file will be downloaded and contains the bid sheet of the sourcing organization.

⚠️ Make sure downloads are enabled in your browser. If the file doesn't appear, check your browser settings or contact your internal IT administrator

4. In the Excel file, fill in your quotes in the columns that are color-coded as supplier input. Review the table structure and any separate worksheet or legend.

5. Save your completed file locally before uploading.

Upload your bids

6. Return to the Bid Sheet window and open the pop up again by clicking "Get Excel template and upload bids".

7. Below Step 2, drag and drop your completed Excel bid sheet file into the blue area.

8. Check the box, acknowledging that all previous bids will be overwritten.

9. Click "Save"

10. The online bid sheet will be automatically filled out and checked for errors.

11. ❗Click "Submit bid sheet" at the bottom of the page to complete your submission.

📝 Submitting Your Questionnaire: Online or via Excel

In the project overview, click on the Go to Questionnaire button:

You can choose to fill out the questionnaire directly in the app or work offline in Excel and upload your answers.

💻 Option 1: Fill Out Questionnaire Online (Recommended)

Fill out the questionnaire online by entering your answers directly in the designated fields.

And then click on "Submit Response" at the bottom of the page.

📥 Option 2: Complete Questionnaire in Excel

⚠️ Attention: Uploading an Excel file later will delete all previously entered answers!

  1. In the questionnaire, click "More" on the right, then select "Upload answers."

2. In the message that pops up, click on "Download template" next to Step 1.

3. Fill out the Excel template without modifying its structure.
📝 Note: If the questionnaire requires a document upload, this must be done directly in the questionnaire section before submitting — not within the Excel file.

4. Save your completed file locally before uploading.

5. Return to the Questionnaire section and, in the pop-up under Step 2, drag and drop your completed Excel file into the blue upload area.

6. Check the box, acknowledging that all previous answers will be deleted.

7. Click "Upload Answers". The online questionnaire will be automatically filled out and saved.

8. Click "Submit response" to complete your submission.


🔄 Need to Update Your Submission?

If you’d like to make changes to your bids or questionnaire responses, you can withdraw and resubmit:

  • Click "Withdraw proposal to resubmit" in the Bid Sheet

  • Click "Withdraw answers" in the Questionnaire

You can make updates and resubmit anytime before the round closes.


Additional Documents - Download and Upload

Download supporting files in the Documents section - if they have been made available by the sourcing organization that invited you.

Upload any files that you want to share with the sourcing organization in the Documents area.



✅ Finished? How to Know You're Done

You have successfully completed the submission process when all tasks in the Tasks list are marked with green checkmarks.

Additionally, you’ll see a note at the top of the page stating:
“You have finished all the tasks for the current round!”

This means your bid has been submitted and no further action is needed at this stage.

💬 For Project-Specific Questions

The Sourcing Manager is your best point of contact for project-specific questions (e.g. volumes, delivery addresses and schedules, product specifications, MOQ).

You can easily reach out to them directly within Archlet's Communication section:

  1. Open the project you were invited to in the Projects dashboard

  2. In the left-hand panel, click the Communication icon

  3. At the top of the page, click the Chat button

  4. Enter your message to start a 1:1 conversation with the sourcing manager.
    You can attach screenshots or documents related to your question, if needed.
    👉 Please note: Submit your bids and related documents in the designated section, not through the chat.

  5. Click Send.
